[Time: 70:00? min.]Manage SAP Crystal Reports for SAP Business One [Time: 10:00? min.]
At the end of this course, you will be able to:
SAP Crystal Reports for SAP Business One is a customer version of SAP Crystal Reports that has been designed to work closely with SAP Business One.
This version of Crystal Reports is tightly integrated with SAP Business One release 8.8 or higher, allowing both reports and print layouts developed in Crystal Reports to be used in SAP Business One.
How does this help me as Crystal Reports developer?
Let us use a business example, Yogi Yoga, to describe the process of creating and managing reports and print layouts between SAP Crystal Reports and SAP Business One.
After completing this course, you will be able to manage your company reports and print layouts, import and export reports and layouts, and apply master layouts to sales and purchasing documents. In addition, you will be able to describe the process for creating a report or print layout with Crystal Reports.
1. Manage Company Reports and Print Layouts
How do I manage the company reports and print layouts in SAP Business One?
Yogi Yoga sells yoga accessories to studios on the East Coast. We work with SAP Business One and need customized reports and print layouts. At the report expert at Yogi Yoga, I need to build individual layouts and reports, Therefore, I installed the included SAP Crystal Reports license on my machine. This grants me the Reports Designer license.
An Integrated Runtime version is distributed with the SAP Business One 8.8 installation package, enabling people in my company to view an print the reports and layouts I create.
With SAP Business One 8.8, all Crystal Reports and print layouts are handled at one central place. since I am super user, I am automatically authorized to work with the Report and Layout Manager, and I can authorize other regular users using the SAP Business One general authorization.
How do I manage the print layouts?
Here, in the Report and Layout Manager window, the two types of print
layouts co-exist. I can view and edit print layouts created in SAP Crystal
Report and SAP Business One Print Layout Designer (PLD).
I can edit an SAP Crystal Reports layout or a PLD layout and save it. I can also export or delete a Crystal Reports layout that O have created.
How do I handle Crystal Reports?
In the Report and Layout Manager, I see custom reports that I have
created.
In Crystal Reports, I use a dedicated Save option to define my Crystal Reports .rpt file as a report or a layout. When I save an .rpt file using this option, the report or layout is saved to the SAP Business One database.

2. The Manager Window as an Implementation ToolExport, Import, and apply Master Layout (06:40)
We recently changed out company's branding and images, and I created a new print layout for this branding including a layout for the Sales quotation document using SAP Crystal Reports. Jean, the sales manager, rally likes this layout and wants to use it for all Sales - AR documents.
I can do this easily in SAP Business One. All I need to do is define the Sales quotation print layout as a master layout and apply the layout other documents.
After I finalize the Sales quotation print layout, I export the layout to create a .b1p package file.
During the import process, I define the Sales quotation layout as a master layout for other sales documents, such as the [411] Accounts Receivable Invoice and the Delivery.
I can export and import multiple reports and print layouts as a batch from our test system to production for easy roll-out and implementation. The export creates a file called a package (.b1p)
When I exports or layouts to create a .b1p file, hey must all be the same type, that is, they must all either be reports or layouts.
When I import a .b1p file, SAP Business One automatically detects whether the contents are layouts or reports created with the Crystal reports software.
I can also import an .rpt file, not just a package. That is a report I create in Crystal reports or a single layout that is not a master layout.

3. Create a Report (Beginning-to-End Process)
I have been working with Jean, the Yogi Yoga sales manager, on the cash flow. Jean discovered that, although we closed many deals last month, the cash flow for the current month is weak. She now wants to analyze last month's sales and improve the cash flow for future deals.
Watch the demo to see an overview on how I plan and creat Crystal Reports for SAP Business One in order to provide Jean with the cash flow analysis she needs.
The detailed steps for creating a report are presented in the other courses in this curriculum.
By the way, the process for designing a print layout in SAP Crystal designer is very similar.
